Spa Balance

The world around us is quickly becoming digital. People across the globe are consuming digital content on a daily basis. Companies in all industries are starting to recognise the importance of getting digital and embracing technology not only to engage their consumers but to also improve business productivity. Yet, in such a rapidly growing technological environment, the spa industry seems to be lagging behind. Many owners, hotel operators and spas struggle to invest in technology – specifically, spa software systems.

Pencil, paper and Excel get the job done. Why change?

Many spa managers, at some point of their career, whilst trying to embrace technological advancements for their spa businesses, have had to face their owner or hotel general manager and answer the question: “Why can’t you use a manual booking system for the spa? With up to 20 bookings a day, we really do not need to invest in a spa software system”.

A number of spa owners, especially of small operations, prefer to continue to manage their bookings manually. Hoteliers are also equally reluctant to invest in a software system for their spas. Where spa revenue makes up to a maximum of 5% of total revenue at best in most hotels, some hotel general managers think: why bother investing in a software system? Pencil, paper and Excel get the job done!

Moving with the times

While pencil, paper and Excel are effective tools for managing bookings and basic reports, they are not enough to address today’s way of managing our businesses and marketing our product and services to our clients.

Here are five reasons why smart operators invest in a software system for their spa:

1. Improve productivity. Manually taking bookings, noting down treatment preferences, writing and sending reservation confirmations via email, filling out of several reports at the end of the day, etc. – are all time consuming tasks that unnecessarily waste employee productivity. In such a labour-intensive industry, we need to make smart use of our resources. A software system allows you to have everything (reservations, inventory tracking, customer preferences, etc.) in one place, and frees your employees’ time so that they can concentrate on what is important – promoting your business and providing seamless service to your guests.

2. Real-time business visibility. Having a real-time snapshot of your business is crucial to make informed decisions. The ability to take out reports that give you a concise overview of your business’s performance allows you to be on top of your business instead of in it. Most software systems today come equipped with apps that allow you to instantly access your spa’s reservation system through multiple devices, without you having to be present in the spa.

3. Personalisation of service. Most spa software systems today have CRM tools integrated. With just a click, you can access your guest preferences in terms of treatment type, therapist, massage oil, etc. including reminders for special occasions. This gives your team an opportunity to create amazing spa experiences for your guest and recommend products according to their wellness needs.

4. Effective marketing. As we move towards an era of digital marketing, it is important to effectively communicate with our guests. With automated social media alerts, spa software systems allow you to promote your business more effectively by adapting your sales initiatives according to your client mix.

5. Guest privacy. In most spas, medical questionnaires and client history forms are stored in the spa manager’s office or some back-of-house area in the spa where any team member can access them. Spa software systems permit controlled access of what guest information users can see depending on what they need to know to carry out their job. This allows you to maintain the integrity of your guests and their medical information.

While some will undoubtedly lament the loss of paper, pencil, old fashioned collateral, and several different Excel sheets, newer generations who have grown up with internet, laptops, tablets, smartphones, will pave the way we do business to a digital future. The digital age has arrived and it is time to be open and adapt to a new way of business and interaction.
